Approval of the award of bid with Core and Main LP for water meter boxes, lid materials and accessories - a Tampa Bay Area Purchasing Cooperative (Cooperative) contract.

 

                     This five-year Cooperative contract provides water meter boxes, lid materials and accessories on an as needed basis.

                     Three bids were received with award recommendation to Core and Main LP as the lowest responsive, responsible bidder in the total amount of $5,147,784.85. 

                     Cooperative participants include the City of Pinellas Park.

                     Cooperative participants are responsible for issuance of their own awards and funding; Cooperative expenditures for the sixty-month term, less County requirements, total $149,129.22 for a total County and Cooperative expenditure in the amount of $5,296,914.07.

 

Contract No. 21-0249-B(BW) in the not-to-exceed amount of $5,147,784.85 for sixty-month term total, on the basis of the lowest responsive, responsible bid received meeting specifications. Authorize the Chairman to sign and the Clerk of the Circuit Court to attest.

Summary

This is a Cooperative contract containing requirements for the City of Pinellas Park for new water meter boxes, lid materials and accessories. Water meter boxes are critical to the County’s potable and reclaimed water system operations.  The duration of the contract shall be for a period of five years, and prices are based on manufacturer’s suggested retail plus a fixed percent markup.  Annual pricing adjustments must be submitted by the vendor no later than three (3) months prior to contract anniversary date and include supporting documentation of the manufacturer’s current price list.

Background Information:

On February 4, 2021, the Purchasing and Risk Management Division, on behalf of the Utilities Department, released an invitation to bid to establish a contract for water meter boxes, lid materials and accessories with the intent to replace a contract which expires October 31, 2021. Three bids were received with award recommendation to Core and Main LP., as the lowest responsive, responsible bidder.

This contract will replace Contract No. 167-0015 B(LN) Water Meter Boxes, Lid Materials and Accessories, as a five-year agreement that will expire on October 31, 2021.

 

Fiscal Impact:

Estimated County sixty-month expenditure not-to-exceed:                     $5,147,784.85

 

Estimated average annual expenditure:                                                                                    $1,029,556.97

 

Funding is derived from the Sewer and Water Revenue Operating Funds and the Sewer and Water Renewal and Replacement Funds for the CIP Meter change out project.

 

Cooperative participants are responsible for their own award and funding.
