Approval of the second amendment exercising a term extension to the services agreement with Questica Ltd. for public sector budgeting software, implementation, and maintenance cloud-based services.

 

                     This agreement provides subscription and support of a cloud based public sector budgeting software solution, eliminating the need for additional applications, and reporting tools.

                     The second amendment extends the agreement for five years from October 8, 2024, to October 7, 2029, and increases the contract in the amount of $1,135,090.00 for a revised not to exceed amount of $2,758,413.00.

                     Authority for the County Administrator to approve and execute this term extension is granted under Code Section 2-188(d).

                     This contract was awarded by the Board of County Commissioners on October 8, 2019, for a five-year term in the amount of $1,562,123.00. On October 31, 2022, the County Administrator approved the first amendment to provide for the purchase of 170 Custom Report Hours and 102 upgrade hours to complete recommended updates to the budgeting software and increase the contract in the amount of $61,200.00.

                     Funding is derived from the Business Technology Services Fiscal Year 2025 Budget (and following years) in the Business Technology Services Fund.

 

Contract No. 189-0236-P increase in the amount $1,135,090.00, for a revised not to exceed amount of $2,758,413.00, effective through October 7, 2029.

Background Information:

This contract was awarded by the Board of County Commissioners on October 8, 2019, for a five- year term. This contract provides for the implementation, subscription and support of a cloud based public sector budgeting software solution.

On October 31, 2022, the County Administrator approved the First Amendment to allow the purchase of 170 Custom Report Hours and 102 Upgrade Hours to complete recommended updates to the Budgeting Software and increased the contract in the amount of $61,200.00.

 

Fiscal Impact:

Current contract expenditure not-to-exceed (Years 1-5):                           $1,623,323.00

Funding for this agreement has no impact to the FY24 BTS Adopted Budget. Year 1 fees of this second amendment will impact next fiscal year and will be included in the FY25 BTS Budget Request.
