Approval and execution by the County Administrator of the purchase authorization and Agreement with Toshiba America Business Solutions. Inc. for the purchase and/or lease of Multifunction Devices, Copiers, and Related Software and Services.
• This Agreement and purchase authorization request provides for the purchase and/or lease and maintenance of Toshiba Multifunction Devices, Copiers, and Related Software and Services by all County departments and if per the pricing of State of Florida Contract No. 44100000-24-NASPO-ACS effective through July 31, 2026.
• This Agreement replaces the current purchase authorization with Toshiba for multi-function digital copy equipment, expiring December 31, 2024.
• The County Administrator is authorized to approve contracts in any amount, per Code Section 2-185, utilizing State of Florida bid or negotiated contracts.
• Funding for this is included in the FY25 Budget of Airport, Animal Services, Building and Development Review Services, Business Technology Services, County Administrator, County Attorney, Department of Administrative Services, Economic Development, Emergency Management, Housing and Community Development, Human Resources, Human Services, Judiciary, Office of Human Rights, Parks and Conservation Resources, Public Works, Safety and Emergency Services, Solid Waste, and Utilities in the Air Quality Fund, Airport Revenue and Operating Fund, Building Services Fund, Business Technology Services Fund, Community Development Grant Fund, Construction License Board Fund, Emergency Communications E911 System Fund, Emergency Medical Service Fund, General Fund, Fleet Management Fund, Risk Financing Fund, Sewer Revenue and Operating Fund, Solid Waste Revenue and Operating Fund, Surface Water Utility Fund, Transportation Trust Fund, and Water Revenue and Operating Fund. The agreement contains a fiscal non-funding clause should any relevant portion of the budget not be approved.
Contract No. 24-1045-S in the not to exceed amount of $900,000.00 through July 31, 2026.

Summary:
This Agreement provides a mechanism for County departments to purchase and/or lease Toshiba multi-function devices that can copy, network print, scan, and fax and provides for supplies and maintenance of the multi-function devices.

This agreement is per pricing from the State of Florida Contract No. 44100000-24-NASPO-ACS effective through July 31, 2026.

Total expenditure through July 31, 2026 not to exceed: $900,000.00

As this is a countywide contract, it can be utilized by other departments requiring copiers and service. Approval for the use of any funds and whether budgetary conditions are met will need to be made on a department-by-department basis.

Authority for the County Administrator to sign this Agreement is granted under Code Section 2-185(a).
